Rental Protocols

  • An office set up will be available for tenants to visit with enquiries or to sign new leases and lease renewals.
  • Once per month the building will be inspected and a detailed report will be given to Landlords.
  • Outgoing check list will be done with the exiting tenant and any maintenance issues detailed Credit vetting process – including obtaining ID copies, application to lease document, copies of bank statements and payslips and TPN/Experian credit checks.
  • A detailed check list will be done with the incoming tenant.
  • Inspection of all maintenance and property services and cleaners work.
  • Handling all maintenance, rental and other enquiries from tenants and maintenance plus cleaning contractors.
  • The Landlords bank details will be reflected on the Lease agreement.
  • All rentals and deposits will be kept by the Landlord.
  • Invoicing will be done on Rent Master.
  • Should the Landlord require invoicing to be done at his offices, a small additional monthly fee will apply.

Residential Administration Services:

  • Detailed file per tenant
  • Advertising vacancies
  • Showing of premises
  • Drawing up of leases
  • Renewal of leases
  • Enforcement of rules
  • Invoice and levy statement distribution
  • Billing
  • Debt collection of arrear levies
  • Collection of rental and levies and monthly services charges
  • Monthly billing and distribution of owner levy statements by e-mail, post or hand delivery to the property
  • Liaising with attorneys appointed to manage legal collections (Legal costs are for the Landlords account)
  • Creditor payments
  • Utilities: recovery of utility charges from tenants
  • Ensuring timeous payment of electricity, sewage, water and all utilities
  • Ensure fire hoses are not tampered with
  • Manage parking allocations
  • Attend to security issues e.g. on compliance with locking of gates
  • Monthly reports to landlords
  • Management of cleaners, gardeners, security and maintenance personnel
  • Sourcing the best maintenance quotations
  • Sourcing garden service when required
